Event Day

  • Day of the Event
    The day of the event can be both stressful and satisfying. We have gotten powerful feedback from families, community volunteers, and our own district staff. There are three key components for the day to run smoothly:
    1. Respect Volunteers' Time - Make sure you have routes planned properly so that home visits can be done in the time you have requested volunteers give. Stay on the itinerary timeline!
    2. Orientate the Volunteers Properly - Make sure volunteers feel comfortable before they leave the orientation. Give them tips to conducting a safe and effective home visit. (Watch our orientation video for an example.) Let them know that they are free to participate as much, or as little, as they choose.
    3. Team Leaders Debrief - Debriefing after each visit with group members and after completion of all visits is imperative to the success of the returning student. Ensure you have a process for documentation and debriefing.

    Here is the schedule which we have been following:

    6:45 a.m. - Staging Begins - Dropout Prevention Staff
    7:30 a.m. - Team Leader Check-in - Student Services Staff
    8:00 a.m. - Volunteer Check-in - Community Leaders and District Leadership
    8:30 a.m. - Welcome - Assistant Superintendent
    8:35 a.m. - Address by District Superintendent - Dr. H.T. Sanchez
    8:40 a.m. - Address by Mayor of the City of Tucson - Jonathan Rothschild
    8:45 a.m. - Orientation - John Kramkowski, Dropout Prevention
    8:55 a.m. - Announce Groups - Debbie Ferryman, Dropout Prevention
    9:00 a.m. - Walk Begins
    Debriefing happens as groups return, with the goal of all groups returning before 12 p.m.
